Before export and after import
Know what to check before you use a converted estimate.
Keep the original PDF open beside the converted estimate. Review the extraction before export, then inspect the result in Xactimate. This checklist helps you find discrepancies; it is not a certification of the estimate or a substitute for professional scope review.

01Source and room coverage
Confirm that you used the complete, correct revision. Check each source room and floor against the extracted list. Look for missing pages, duplicate sections and items assigned to the wrong room. A sketch-only document does not supply a priced estimate.
02Line items and codes
Compare description, action, material, quantity, unit, unit price and amount. Review suggested codes against the intended work. Start with large amounts and unusual units, then work through every room. Do not rely on row counts alone: two incorrect rows can still produce the expected count.
03Totals and adjustments
Reconcile line amounts and compare the PDF's summary adjustments, such as tax, overhead and profit, or depreciation where present. Investigate differences instead of forcing the total to match. Record whether a discrepancy appears in extraction or only after import.
04Optional sketch and import
Check dimensions, room boundaries, floor assignments and openings separately. Unclear or missing source geometry may require correction. After importing the ESX, repeat the checks on room assignments, item details and totals before editing or submitting the estimate.
05When a check fails
Keep the source and record the affected room, item and processing stage. Correct editable fields in review, then generate and inspect the result again. If a discrepancy remains, contact support with a description of the issue. Avoid posting claim documents or personal details in public discussions.
