A worked PDF-to-ESX review example
An editable file is the starting point. Compare its room assignments, quantities and amounts with the PDF, then check the imported result in Xactimate.
One room, three checks
Suppose a source PDF lists these simplified items for a living room. Amounts exclude tax and other adjustments. Check each field rather than relying only on the room total.

If the drywall quantity is read as 12 SF, its amount becomes $30 and the subtotal drops to $270. Correcting that field is an extraction correction. Changing the source scope because of a site measurement is a separate estimating decision.

For a useful before-and-after comparison, record the file type and size, processing time, review and correction time, import result, and actual export cost. Keep sketch checks separate. A successful download alone does not establish a successful import.
- Keep the source PDF and review the extracted rooms and line items.
- Record discrepancies and any corrections you make.
- Import the ESX into Xactimate and compare the result with the source.
- Compare total working time with your usual process, including review.
