A carrier PDF is a starting point for comparing scope. Before you add or revise work, establish which details came from the original estimate and which changes you are proposing. Conversion helps reconstruct the estimate; it does not establish entitlement to payment or guarantee approval.

01Preserve the source before revising it
Save the carrier PDF and its revision date. Ask for the original ESX when possible. If you convert the PDF, keep a reviewed baseline before editing scope. That makes an extraction correction distinguishable from a proposed supplement.
02Check action, material, quantity and unit
Similar descriptions can refer to different work. Compare the intended action and material as well as the selected code. A quantity expressed in square feet is not interchangeable with linear feet. Correct mismatches before treating the converted line as your baseline.
03Document each proposed change
For each addition or revision, record the original scope, the proposed scope, the reason and the supporting measurement or photograph. For example, an illustrative source quantity of 120 SF and a site measurement of 150 SF represent a proposed 30 SF difference to explain—not a conversion result or an automatically justified payment.
04Reconcile the final file
Check quantities, prices and summary adjustments after import. Keep extraction errors separate from scope disagreements in your notes. Review any optional sketch against the source and your own measurements. Use your established review and submission process for the completed supplement.
